I was indeed out of the office this weekend, but hope this will clarify the
page numbering guidelines. I apologize for the length of email, but want to
provide more context for the guidelines.
Here's the official proofreading guidelines for page numbers on the website:
Page numbers must be the same as the original book, they must be located on
either the first or last line of the page; and they must be the only character
on that line. If the original book does not have any page numbers (common in
children's books) do NOT add them. Line spaces on either side of the page
number are not necessary.
Further explanation:
To help ensure that the page numbers remain the same as the printed book, a
page number needs to be on every page. Locate the first page number in the
book. If the page number begins with a number larger than Arabic 1, use Arabic
numerals to number prior pages until you get back to 1. Then use Roman
numerals for any other preceding pages, starting with Roman numeral 1 on the
first page until you reach the page with Arabic 1.
If the pagination is strange in the printed book, please make note of it in the
comments section. And feel free to reach out to volunteers@xxxxxxxxxxxxx to
help clarify any questions.
Lastly, we do not require volunteers to add/remove blank lines before or after
page numbers because the converter will automatically remove them. We
understand that some volunteer prefer to have blank lines for proofreading
purposes and that's fine with us. However, we do not want to make it a
requirement as it could cause more work than is needed. Especially when not
every volunteer proofreads the same way or has the same preferences.
I hope that clears things up, but we also have additional information for ya'll
if you are interested in reading on....
Below are the most recent findings that have come out from our staff testing
the converter on page numbers this summer. We use this information to help
determine the proofreading guidelines. We are planning to add portions of this
to our new documentation to help explain the above guideline:
Page numbers are not required for a book. If the original book does not have
page numbers, they should not be added. The converter will add page numbers
based on the page breaks in the RTF. If there are page numbers, they must be
the only thing on either the top or bottom line of text on the page.
Type of Page Numbers: If the first pages are numbered with Roman numerals (i,
ii, iii, iv, ...), and following pages are numbered with Arabic numerals (1, 2,
3, 4, ...), the converter will maintain the Roman numerals and then continue
with the Arabic numerals in most cases.
Problems with Roman Numerals: The converter may drop the Roman numerals and
pagination starts with 1 on the first page under the following conditions:
* the document is short (less than 30 Arabic numbered pages or less than
four Roman numbered pages)
* page numbers are not on every page
To get Roman numerals to work, try some of the following:
* put all of the Roman numerals at either the top or bottom of the pages
* remove the roman numeral from the very first page if it is there or add
it if it is not
* while capitalization of roman numerals shouldn’t matter, try making them
all lower case
* If there are pages marked as [Blank Page] in the roman numeral area, add
*** on the line above the Blank Page line.
If none of the above work, add a note to the text in an appropriate spot (at
the beginning or in the table of contents perhaps) that says something like:
[Bookshare Proofer’s note: Page numbers in this book are offset by ##. For page
10 in the table of contents, please go to page 15 for example.]
Spacing: A blank line before a page number line or following a page number line
does not make a difference. Spaces before or after the page number on the page
number line do not make a difference.
The converter drops blank lines and more than one space between words.

That’s right, page numbers can be either at the top or bottom of the page.
Lissi and I have a preference for them being at the top, but I emphasize that
that is a preference only, not a requirement.

recall, that if the text begins on a page other than Arabic 1, to put Arabic
numerals prior to that until you get back to 1, then use Roman numerals for any
pages preceding those.

Yes, Roger, and that's what I did with the previous book I proofed and with
this one;;the previous book was returned to me; the main part started on p. 19
and I was told to put roman numerals on the preceding pages; so this time,
after having done the same thing, using Arabic numbers up to p. 21; I
anticipated the book's being rejected and so went back and changed the
preceding page numbers to Roman numeral;s; it took several hours because the
print book's pages stuck together and I had to separate them,count to be sure
what the numeral should be, and replace the Arabic number with the right roman
numeral;I couldn't just assume. oh well, every thing's done now; a last spell
check and pagination check of the final chapters and I can check in the book

Before I start a book I always check to find out what page has the first page
number and then count the pages backward to find out if I have to add any Roman
numerals. The pagination formatting is too variable from book to book for me to
just assume that there will be preliminary pages before page one. It is
something that should always be checked before starting.

But for a previous book I proofed I'd done that and was told I had to put in
the Roman numerals The book was rejected and sent back to me for that
correction after I'd checked it in

other than page 1. Your first inclination was correct—simply number back from
the first numbered page of the book until you number back to one. Use the Roman
numerals if you still have un-numbered pages, or if the print copy has used
Roman numerals for the preliminary pages.

I've just spent a few hours changing pages that precede the main text of a
book to lower case Roman numerals. Originally I'd numbered them with Arabic
numbers to end up with p. 21 which is the page on which Chapter 1 is.
Why, since the book has Arabic page numbers do we have use Roman numerals for
preceding pages? I thought we're not supposed to do things differently from
the print book
